Privacy and cookie notice

Spencer’s Outdoor Living Limited (registered in England and Wales, company number 17159345; registered office: Office 30 Greenbox, Westonhall Road, Stoke Prior, Bromsgrove, B60 4AL) is responsible for the personal information collected through this website. If you have a question, want a copy of your information or want us to delete or correct it, email info@spencersoutdoorliving.co.uk or call 01902 202087.

What we collect

When you use the garden visualiser or contact us, we may collect your name, email address, telephone number, installation address, pergola selections, garden photograph, generated concept image, proposal and basic technical security information such as a one-way identifier derived from your internet address. We also record anonymous website interactions, including page views, product and filter selections, contact-link clicks and visualiser activity.

Why we use it

We use this information to create the visualisation and proposal you request, respond to your enquiry, prepare an accurate quotation, prevent misuse of the service, understand which products and enquiry times are most popular, and improve service reliability and cost. Our lawful bases are taking steps at your request before a possible contract and our legitimate interests in responding to enquiries, understanding and improving the website, operating the service and preventing abuse.

Our own anonymous website statistics

Separately from the optional analytics cookies described below, our website keeps its own basic, anonymous statistics. These do not store anything on your device: no cookies and no data in your browser’s storage. A random visit identifier is held only in memory while the page is open, so it is discarded when you close or reload the page and each new visit is counted separately. We do not use this identifier to identify you, store your browsing internet address in these records or share the data with advertising networks. Only authorised Spencer’s Outdoor Living administrators can view the reporting dashboard.

Cookies and similar technologies

Essential storage (always on). We store a small amount of information in your browser that the site needs to do what you ask: your shopping basket, your progress and contact details while you use the visualiser or pergola designer in the same browser tab, how you arrived at the site (for example a campaign or partner link, kept until you close the tab, so we know where an enquiry came from) and your cookie choice itself. This is strictly necessary and does not need your consent. You can clear it at any time through your browser settings.

Analytics cookies (only with your consent). If you choose “Accept all”, or switch on analytics under “Manage”, we load two analytics tools. If you reject them or make no choice, they are not loaded at all. They are never used on our staff, trade or customer account pages.

  • Google Analytics 4, provided by Google Ireland Limited and Google LLC. It tells us how visitors find and use the site, for example pages viewed, roughly where in the UK visits come from, the type of device and actions such as starting a design, adding to the basket, starting checkout, sending an enquiry or tapping our phone number or email address. Cookies: _ga and _ga_…, which last up to 2 years. We have not switched on Google advertising features or Google signals, we do not use the data for advertising, and Google Analytics does not log or store full internet (IP) addresses. Opt out: Google Analytics opt-out add-on.
  • Microsoft Clarity, provided by Microsoft Corporation. It shows us, in aggregate heatmaps and session replays, how pages are used (clicks, scrolling and mouse movement) so we can fix confusing or broken parts of the site. Text typed into forms is masked and not recorded. Cookies: _clck (up to 1 year) and _clsk (1 day); Microsoft may also use CLID, MUID, ANONCHK, MR and SM. See the Microsoft privacy statement.

Our lawful basis for analytics cookies is your consent. Google and Microsoft may process this information in the United States; where they do, the transfer is covered by the UK Extension to the EU–US Data Privacy Framework and/or the UK International Data Transfer Addendum. Analytics reports are kept for up to 14 months in Google Analytics, and Clarity recordings for up to 30 days (aggregated heatmaps for up to 13 months).

Changing your mind. We remember your choice for 6 months and then ask again. You can change it at any time: change your cookie settings, or use “Cookie settings” at the bottom of most pages. If you withdraw consent, analytics stops straight away and we delete the analytics cookies we can reach from our site.

AI visualisations and service providers

Your garden photograph is sent securely to the AI service used by the visualiser solely to create the requested concept. We also use service providers for hosting, private file storage, database, email delivery and AI processing. They process information for us under appropriate service arrangements. Do not upload photographs containing people, vehicle number plates, personal documents or anything you do not have permission to use.

How long we keep it

  • The original uploaded photograph is stored privately and deleted after processing.
  • The generated concept image is stored privately for up to 24 hours.
  • The proposal PDF is stored privately for up to 30 days.
  • Enquiry and contact details are normally retained for up to 12 months, unless they become part of an ongoing customer relationship, quotation or contract, or we need to retain them for legal or record-keeping purposes.
  • Anonymous website interaction records are retained for up to 90 days.
  • If you accept analytics cookies: Google Analytics data for up to 14 months, Microsoft Clarity recordings for up to 30 days, and your cookie choice for 6 months (see Cookies and similar technologies).
  • Security and usage records are retained only as long as reasonably necessary to operate and protect the service.

Who we share it with

We do not sell your personal information. We share it only with the service providers needed to run the website and visualiser, professional advisers where necessary, or authorities when required by law. If a provider processes information outside the UK, we use the safeguards required for that transfer.

The homepage includes a project video from our YouTube channel. The video player does not load until you choose to play it: before then we show only a still preview image. When you press play, the video loads from YouTube in privacy-enhanced mode (youtube-nocookie.com), your browser connects to YouTube and Google, and they may set cookies or similar technologies and receive technical and usage information under their own privacy practices. If you prefer not to load YouTube content, simply do not press play, or watch on YouTube directly. You do not need a YouTube account to view public videos.

Your choices and rights

You may ask us to provide access to your information, correct it, erase it, restrict or object to some uses, or provide portable information where applicable. You can also complain to the UK Information Commissioner’s Office. We may need to confirm your identity before acting on a request.

Accuracy of AI concepts

Visualiser images are illustrative only. They are not measured drawings, planning advice, engineering designs or contractual specifications. Dimensions, access, ground conditions, installation details and final pricing are confirmed separately.
